Text cleanup guide
How to Clean Formatting From Copied Text
Text copied from PDFs, email, spreadsheets, and web pages often carries invisible characters and awkward spacing. Clean it in controlled steps.
Identify the kind of noise
Repeated spaces and blank lines are visible. Non-breaking spaces, zero-width marks, mixed line endings, and typographic punctuation are harder to spot. Use whitespace cleaning for layout problems and text normalization for encoding or invisible-character problems.
Preserve meaningful structure
Do not collapse every line break automatically. In prose, blank lines separate paragraphs; in an address, poem, code sample, or list, each line may carry meaning. Enable only the cleanup rules you need.
- Remove trailing spaces without joining paragraphs.
- Reduce excessive blank lines instead of deleting all of them.
- Normalize tabs when the destination does not use columns.
- Review punctuation changes before copying the result.
Worked cleanup
The cleaned version removes accidental spacing while keeping the paragraph boundary.
First paragraph. Second paragraph.
First paragraph. Second paragraph.
Choose a follow-up tool
Use the line organizer for one-item-per-line data, the list converter for output formats, or case conversion for inconsistent capitalization. Always review content where spacing has semantic value.
Questions about this topic
Will cleanup delete my paragraphs?
Not when paragraph-preserving options are used. Review the selected rules before applying them.
What are invisible characters?
They are formatting or control characters that occupy a position without an obvious visible mark.
Is the original changed automatically?
No. TextoLab produces a separate cleaned result for review and copying.
